Office Manager

Boscobel Marketing Communications, is currently seeking an Office Manager with strong leadership skills who will ensure our office runs seamlessly and efficiently, and who is interested in an opportunity to contribute to and share in our growth and success.

Founded by branding authority Joyce Bosc, the company is best know for its landmark work in branding and launching America Online. Boscobel has successfully worked with government agencies such as Office of Personal Management, U.S. Coast Guard, U.S Department of Labor and U.S. Customs, and commercial clients including QinetiQ North America, Citrix Systems, SAIC, Intelsat General, STG and other government service providers.

Duties

In addition to working closely with the President, your responsibilities will also include:
  • Supervising Boscobel’s two part-time bookkeepers to ensure all financial processes are operating at maximum efficiency;
  • Overseeing all of the company’s accounts receivables and accounts payables functions in collaboration with the CPA;
  • Overseeing all daily operations for the office, including management of mail and courier/delivery services, management of the company calendar and greeting all guests.
  • Coordinating company events, handling all staff travel arrangements and coordinating internal/external meeting arrangements;
  • Maintaining an inventory of and ordering all office supplies;
  • Coordinating all office repairs, including soliciting and reviewing bids;
  • Coordinating the company’s IT projects in collaboration with the IT consultant and maintaining the company’s contact database;
  • Interfacing with the company’s vendors, contractors, CPA, attorneys and clients;
  • Providing ongoing support to the President and all staff.

Requirements

  • Alignment with our company brand: “Passionate, thorough, responsive, creative and fun” is a must!
  • Proven track record of successfully managing all aspects of a fast-paced office as noted above.
  • Supervisory experience required; experience supervising bookkeepers helpful.
  • Some bookkeeping experience strongly preferred.
  • Outstanding attention to detail and strong organizational skills.
  • Proven ability to prioritize, multi-task and be adaptable in a challenging, fast-paced environment.
  • Positive and upbeat demeanor with a team-player mentality.
  • Exceptional work ethic, including a sense of urgency.
  • Exceptional internal/external customer service skills.
  • Unwavering integrity.
  • Proficiency in Microsoft Office Suite required; database management experience preferred.
